A WhatsApp CRM keeps your team's WhatsApp conversations next to the customer record: who the person is, which deal or ticket the chat belongs to, who owns it and what happens next. For a company selling in Brazil the choice comes down to one question. Will the sales pipeline live inside the WhatsApp platform, or in a CRM you already run?

On 24 September 2026, the 23 platforms in this catalog split three ways. Eight keep contacts and a funnel of deals or cards in the product. Most of the others keep contacts with tags, fields and segments but no deal object, and connect to HubSpot, Pipedrive, RD Station CRM or another CRM. One, 360dialog on its Regular plan, sells API access only.

No CRM yet and sales happen in chat? Start with the pipeline group. Deals already in an external CRM? A contacts-only platform with a documented connector avoids two customer databases. Either way, filter on the official WhatsApp Business Platform first.

Three kinds of WhatsApp CRM

No CRM layerAPI access; you connect inbox and CRM360dialog (Regular)

"Pipeline" means different things. Kommo tracks leads, contacts and companies on every plan, Umbler Talk's Essencial tracks opportunities, and Octadesk puts a monetary value on each conversation card. Blip Go and BotConversa run Kanban boards of contacts or requests with no deal value field documented. Digisac sells its Funil de Vendas as an add-on, Poli Digital charges per Poli Flow (CRM) user, and SendPulse's CRM is a separate product with its own plans. If you forecast by deal value, check for a value field. Plans matter too: RD Station Conversas' pricing table leaves the funnel off Basic while its help center says all plans, and WATI keeps lead stages for Pro and Business.

What to check before you choose

Official API. A tool that connects through WhatsApp Web or a QR code works outside Meta's WhatsApp Business Platform, with the ban risk explained in official vs unofficial WhatsApp API. BotConversa's Starter plan and Digisac's entry setup use a QR session; the official API comes with BotConversa Pro and Digisac's WABA proposal.

Shared inbox and routing. Several agents on one number, with chats assigned automatically, is the core of a team setup. Most platforms have both. Exceptions: 360dialog Regular has no inbox (Premium only), Sinch Chatlayer hands chats to an external live-chat tool, Twilio's pay-as-you-go API needs Flex for an agent workspace, and Manychat Pro assigns chats manually (automatic from Business). Kommo's automated lead assignment starts on Advanced.

Tasks, permissions and ownership. Look for contact owners, roles that limit what an agent sees, and follow-up tasks. Most platforms document roles and owners; Kommo, Poli Digital and SendPulse also document tasks, and WATI Growth has basic roles only.

Templates, consent and campaigns. Meta's Business Messaging Policy requires opt-in before you message someone and respect for opt-outs, so the CRM should store consent per contact. Outside the 24-hour customer service window only approved templates go out, and Meta bills each delivered one: R$0.3217 per marketing template to a Brazilian number, R$0.0350 per utility template, before platform markup. Segments let you target "open deals in proposal stage" instead of the whole base (templates guide).

Automation tied to the pipeline. Automation that reacts to CRM events is rarer than chatbots. Poli Flow triggers on stage entry and won or lost, Botmaker fires automations when a ticket changes funnel stage, Kommo adds workflow automations on Advanced, and respond.io's Workflows react to lifecycle changes from Growth. More in the chatbot guide.

Pix and payment links. The Banco Central describes Pix Cobrança as a charge started by QR code or Pix Copia e Cola, paid at once or on a due date. Few platforms create one themselves: Blip Platform (with the separately contracted Blip Checkout) and VTEX CX Platform (Weni, for VTEX stores) generate dynamic Pix in the flow, and Zenvia does it through Pagar.me. Botmaker, Kommo and Poli Digital create payment links through Mercado Pago or other PSPs; several others document only a generic HTTP call to your PSP. Blip Platform, Poli Digital, SendPulse and Weni record the payment on the contact or deal natively.

LGPD. Under the LGPD your company is the controlador and the platform the operador, which processes data on your instructions (arts. 5 and 39). Ask for a data processing agreement and the encarregado's contact. The catalog found no LGPD reference in the public privacy documents of 360dialog, Gupshup, Kommo, Treble and WATI; the others publish LGPD sections or agreements.

Billing currency. 360dialog bills in euros or dollars, Gupshup's Console and respond.io in dollars, and Treble quotes its base plan in dollars, so card fees and the exchange rate move the bill. Infobip and Sinch set the currency in the contract; the rest bill in reais.

Pricing unit. Per agent: Kommo, Umbler Talk (two agents minimum), Poli Digital (three users included, extra seats paid). Per active contact: Manychat, respond.io, SendPulse. Per conversation: Weni, Octadesk, Blip Platform. Per message with no subscription: Twilio. Meta fees come on top in every model. From 1 October 2026 Meta also charges service replies inside the window, R$0.0350 each after 1,000 free per number a month, which weighs on support-heavy teams (WhatsApp API pricing in Brazil).

Which platforms have which pieces

Rows show the scored plan. "Price from" is the cheapest listed plan with the official API, which can be smaller; cards go plan by plan. "Not verified" means not found on public pages.

CRM and sales is one of the smaller criteria in the score, so a high overall position in the ranking does not mean the strongest CRM. Sort by the pieces your team will use every day.

How much does a WhatsApp CRM cost in Brazil, per user or per conversation?

Both pricing units exist, so compare the plan that actually includes the CRM, not the entry price. Platforms with a built-in pipeline (contacts plus deals moving through stages), sorted by the price of the plan each one is scored on, which is its cheapest plan with the official API and automation of incoming messages:

How to read these prices:

  • Per user. The price covers the users the plan includes, and each extra agent is charged on top; the platform card shows the extra-seat price. With several agents, a per-user plan can end up above a flat one.
  • Per conversation or per contact. The plan includes a monthly allowance of conversations or active contacts; above it you pay per conversation or move to a larger tier.
  • On top of the plan. Meta's fees where the platform passes them through, and a one-time setup fee where there is one (shown in the tables).

For a like-for-like total with two agents, 1,000 replies and 1,000 utility templates a month, the lowest in the catalog is SendPulse, R$146.00 a month. The pricing guide compares every platform whose total can be calculated, next to its score.

Built-in pipeline or your existing CRM?

A built-in pipeline suits a small team whose sales start and close in chat: one login, one contact record, bots that move a card when a customer answers. The cost is shallower reporting and a migration if you outgrow it.

An external CRM suits companies whose deals also arrive by e-mail, phone or web. Some CRMs connect WhatsApp themselves: HubSpot on Marketing Hub or Service Hub Professional and Enterprise, and Pipedrive from the Growth plan (beta), which attaches chats to the contact's latest open deal. Neither is scored here. Chatbots, routing and Pix usually stay with the WhatsApp platform, so check the external CRMs column.

Before you sign, open the card of each shortlisted platform, read the facts for the plan you would buy and, where a trial exists, run a real sales flow on your own number.

About this guide

Written by the editorial team of WABA Index, an independent catalog of WhatsApp Business platforms for companies selling in Brazil. No platform pays for its position or description, and the site has no affiliate links.

Methodology

On 24 September 2026 we read Meta's pricing docs and messaging policy, 360dialog's note on the October change, the Banco Central's Pix Cobrança page, the LGPD and the WhatsApp help pages of HubSpot and Pipedrive. Platform facts come from each card's evidence-rated data for its scored plan; sources and dates are on the card. Prices, setup fees and Meta rates come from the catalog data and update with it. Nothing was tested hands-on.
